Plano Independent School District (Plano ISD) is seeking proposals to add supplemental vendors to their approved vendor list for event-related supplies and services. This RFP is intended to supplement existing contracts and will be utilized as a first choice before other interlocal or cooperative contracts. Vendors awarded in previous related RFPs (2023-033 series) are not required to respond. Vendors must submit a proposal to be considered for the approved vendor list, even if only offering one category or item. The scope of this RFP includes the purchase or rental of supplies and services for graduation, athletic, celebratory, and other events. Categories include decorations (arches, balloons, floral, carpet, centerpieces, signage), DJ services, event security staffing (supervisors, ticket takers, ushers, parking attendants, unarmed guards), event planning, party equipment rentals, photo booths and services, sound and lighting equipment and services, tables, chairs, and furniture rental (including delivery, setup, and pickup), table settings (plates, ware, linens), tents or other temporary covering, and related unspecified purchases and rentals. These will be procured on an "as needed" basis. The estimated annual expenditure for this district-wide contract is approximately $250,000, with the potential to exceed this by 25%. The contract will have an initial term of one year from the date of award, with four additional one-year extension options, contingent upon mutual agreement. The initial contract period is September 2023 - September 2028.
