Information Technology (IT) Managed Services for the Town of Portola Valley

The Town of Portola Valley is soliciting proposals from qualified and experienced information technology (IT) managed services firms to provide comprehensive IT support, infrastructure management, cybersecurity, and strategic technology advisory services. The selected partner will serve as the Town's de facto IT department, given its lean staffing model and lack of in-house IT expertise. The scope of services includes hardware and operating system support, network infrastructure management, robust security management (including EDR, vulnerability scanning, and incident response), data protection, business continuity/disaster recovery planning, cloud services administration, and a responsive help desk with a minimum of four hours of on-site presence per week. The contractor will also be responsible for technology planning, policy development, and strategic advisory, including annual technology assessments, multi-year capital plans, and proactive improvement proposals. They will act as the Town's primary source of technology guidance, independently assessing third-party vendor proposals and providing clear, plain-language recommendations to non-technical staff and leadership. Transition requirements include knowledge transfer from the current provider and a comprehensive infrastructure assessment. The contract is for an initial three-year term with potential for extension.
