Denver Health RFP for Enterprise Printing and Copying Services

Denver Health and Hospital Authority (DHHA) is issuing this Request for Proposals (RFP) to secure a new contract for enterprise printing and copying services, with the current agreement expiring on December 31, 2026. The selected provider will be responsible for maintaining DHHA's existing fleet of printers and copiers across all its facilities, including the main hospital campus, 19 clinics throughout Denver, Denver International Airport, school-based health clinics, and administrative buildings. The scope of work includes providing all consumable supplies (excluding paper) for these devices, along with all necessary services and maintenance. DHHA aims to standardize equipment, reduce costs, improve office functionality, and create financial and operational efficiencies. The goal is to establish a unified, highly available printing environment integrated with the existing VPSX management platform and compliant with DHHA's IT SLAs, security policies, and environmental requirements. Key objectives include maintaining the current fleet of printers and copiers (replacing those over 10 years old or exceeding print thresholds), integrating all new devices with VPSX for real-time monitoring, ensuring 99.5% uptime and rapid resolution of critical issues, implementing secure printing functionalities, and providing comprehensive documentation and training.
